  • Premises access information (entry instructions, alarm codes, key handling protocols)

  • Photographs of premises, including before-and-after images captured through the Kango app for the purpose of documenting cleaning standards

  • Cleaning logs, checklists and reports generated during the delivery of services

  • Issue reports and feedback submitted via the Kango app or other channels

  • Compliance evidence required for industry-specific reporting (for example, NQS, AS/NZS, AGPAL, VGCCC, NDIS)

 

3.3 Information we do not collect via the website

Our website collects information through contact forms and quote requests only. We do not process payments through the website, do not collect credit card or bank account details online, and do not require users to create accounts to use the public-facing site.

4. How We Collect Information

We collect personal information in the following ways:

  • Directly from you when you complete contact forms or quote requests on our website

  • When you contact us by phone, email or in person

  • When we meet with you for a walkthrough or quote at your premises

  • Through the Kango app, where you or your staff log issues, view cleaning records, or upload information

  • From referral partners, where you have consented to your details being shared with us

  • From publicly available sources (for example, business directories, ABN registers, professional networking platforms) when researching potential business relationships

5. Why We Collect Your Information

We collect, hold and use your personal information for purposes that include:

  • Responding to enquiries and providing quotes

  • Negotiating, entering into and performing service agreements

  • Delivering cleaning services and managing the day-to-day operation of those services

  • Providing access to and operating the Kango app

  • Generating cleaning logs, compliance documentation and reports for clients

  • Managing client relationships, including communications and account management

  • Issuing invoices and managing payments

  • Improving our services, training our staff, and developing our systems

  • Marketing and business development, where you have not opted out

  • Complying with our legal, regulatory and insurance obligations

  • Kango staff and authorised contractors who require access to perform their roles

  • Insurers and professional advisers where relevant to a claim or matter

We do not sell your personal information to any third party.

7. Client Business Information and Site Access

Where Kango is engaged to clean a commercial premises, our staff and contractors may have access to your site, your business operations, and incidental information about your employees, customers or visitors. We treat all client business information as confidential and only use it for the purpose of delivering the contracted services.

Specifically:

  • Kango staff are trained to maintain confidentiality of all information they encounter at client sites

  • Photographs taken at client premises are used only for documenting cleaning standards, training Kango staff (with identifying information removed where reasonably practical), and providing evidence of work performed to the client

  • Cleaning logs and records relating to a client are made available to that client through the Kango app or by request

  • Where the client is bound by industry-specific privacy obligations (for example, AGPAL, NQS, NDIS Practice Standards, or specialist clinical environments), Kango will support compliance by handling information consistently with the client's own privacy and confidentiality requirements

8. Storage and Security

We take reasonable steps to protect the personal information we hold from misuse, interference, loss, unauthorised access, modification or disclosure.

Our measures include:

  • Restricting access to personal information to authorised staff and contractors

  • Using secure email and cloud-based business systems with industry-standard encryption

  • Storing physical records (where applicable) in secure premises

  • Training staff on privacy obligations and confidentiality

  • Reviewing our security measures from time to time

No method of transmission over the internet or method of electronic storage is completely secure. While we take reasonable precautions, we cannot guarantee the absolute security of your information.

10. Kango App Data

The Kango app is used by Kango staff to record cleaning activity, capture photos of completed work, log issues, and provide real-time reporting to clients.

The app collects:

  • Cleaning activity records (time, location, tasks completed)

  • Photographs of cleaned areas, before-and-after evidence

  • Issue and incident reports raised by Kango staff or clients

  • Notes and observations relating to the site

Clients can access records relating to their own sites through the app. Kango does not share one client's data with another client. App data is hosted on secure cloud infrastructure with access restricted to authorised personnel.

11. Website Cookies and Tracking

Our website may use cookies and similar technologies to improve user experience and collect anonymous analytics about how the site is used. We may use tools such as Google Analytics. Anonymous data collected includes information such as your approximate location, browser type, pages visited and time spent on the site.

You may disable cookies in your browser settings. Doing so may affect how some parts of the website function.

12. Direct Marketing

From time to time, we may send you information about our services, industry updates, or business communications that we believe will be of interest to you. You can opt out of direct marketing at any time by:

Some of our technology service providers (for example, cloud hosting and email providers) may store data on servers located outside Australia. Where this is the case, we take reasonable steps to ensure that overseas recipients handle personal information in accordance with the Australian Privacy Principles or substantially similar protections.
